NEUROCOACH TOGETHER · HOST GUIDE

A small gathering.
A clear welcome.

A practical guide for hosts and venues who want to help the first pilot take shape. Hosting starts with a conversation; submitting interest does not confirm a session.

CHOOSE A STARTING POINT

Keep the first one manageable.

Caregiver coffee

A small conversation about everyday life. Listening without sharing is welcome.

45 minutes · 4–6 adults

Proposed length and group size. Date, host, venue, access arrangements and any cost still need confirmation.

Short public outing

Try a familiar public place, agree on a meeting point, and keep a clear way to leave.

30 minutes · 4–6 adults

Proposed length and group size. Date, host, venue, access arrangements and any cost still need confirmation.

Online planning session

Make one practical outing plan. Cameras and personal sharing are optional.

Before invitations go out

Confirm the basics.

Name the host and a backup contact. Agree on the date, Eastern time, capacity, any cost, registration method, cancellation contact and minimum attendance.

Use a public venue with permission or a host-managed online room. Keep private room links in the attendee confirmation.

Describe the experience.

Check step-free access, toilets, seating, lighting, noise, queues, parking and transit. Say what is verified and what guests need to ask about.

For online sessions, check captions, keyboard access and how people can contribute by text. Explain the agenda before people arrive.

Make choice easy.

Allow people to listen, skip introductions, take breaks or leave early. Ask before introductions, photography or recording. The first pilot sessions are proposed for adults.

People choose their own support. Hosts do not provide supervision, transport, respite or clinical care. No diagnosis, Care Plan or health history is needed.

A 45-MINUTE FIRST SESSION

A simple agenda you can adapt.

  1. 0–5 minutes: Welcome, explain the plan, point out breaks and exits, and remind everyone they can pass.
  2. 5–10 minutes: Optional names and one hope for the session. Listening counts as participating.
  3. 10–30 minutes: Choose one outing idea and work through meeting point, comfort, transport and an easy exit. Keep personal notes private.
  4. 30–40 minutes: Optional pair or group conversation. Offer a quieter alternative.
  5. 40–45 minutes: Ask what worked, what would make another visit easier, and whether people want a separate follow-up invitation.

No purchase is required to participate in a free session. Any future paid offer should be described separately.

After the gathering

Record actual attendance, repeat visits, host time, direct costs and payments received. Ask one practical question: “What would make the next gathering easier to join?”

Keep names and contact details in the private registration inbox. Share only aggregate results. Agree on follow-up separately and avoid adding attendees to a newsletter without their choice.

Evaluate whether the pace and access arrangements worked. Do not assess symptoms or promise health outcomes.

Help make the first gathering possible.

Offer a suitable public space, host time, refreshments or practical support. Sponsorship terms, recognition and costs are agreed separately. Sponsors do not receive attendee contact lists.
